APEX Surgical Centre for Oral and Facial Surgery is a Maxillofacial surgery clinic located in Kamloops which specializes in the practice of full scope oral and maxillofacial surgery. With expertise ranging from wisdom tooth removal and dental implant surgery to corrective jaw surgery, management of facial deformities and traumatic facial injuries. We aim to provide the highest level of oral, facial and implant surgical services to patients in Kamloops and surrounding area.

The Surgical Centre will be staffing the clinic with professional staff that will provide exceptional patient care and support. We are looking for enthusiastic, motivated individuals who want to work as part of a team focused on patients and excellence.

Job Summary

Reporting to the Surgeon, the Office Manager is responsible for the overall delivery of an effective and efficient of the medical clinic including patient scheduling, bookkeeping, employee relations and overseeing the day-to-day operations. Supervises administrative staff, provides training and is responsible for ensuring the team provides exceptional customer service to patients.

Key Responsibilities

  1. Ensures the delivery of quality care to patients by managing patient scheduling and direct patient traffic flow, ensuring patients and families feel valued, and resolving patient issues in accordance with established healthcare regulations, board standards, and clinic policies and procedures.
  2. Responds efficiently to patient and doctor needs and inquiries.
  3. Presents treatment plans and/or financial arrangements to patients when required.
  4. Supervises the medical clinic staff; recruits and selects office team members in collaboration with the surgeon and human resources support, trains and develops team members, conducts performance management, and manages employee relations in a proactive and motivating manner.
  5. Monitors and maintains the office budget; performs bookkeeping functions including depositing bank deposits, posting revenues, processing invoices and overseeing collections and accounts receivable.
  6. Oversees the selection and maintenance of office equipment, supplies and operational expenses.
  7. Prepares and analyzes management reports; identifies continuous improvement opportunities.
  8. Supports marketing and promotional initiatives; monitors and analyzes marketing initiatives and referrals.
  9. Prepares business correspondence and reports; develops and implements office policies and procedures.
  10. Ensures the effective and efficient functionality of the office. Conducts start of day meetings, ensures the cleanliness of the office is maintained, maintains facilities and equipment in accordance with hygiene and safety regulations.
  11. Ensures patient information is maintained and patient records managed in compliance with privacy and security requirements.
  12. Performs other related duties as required.


Baccalaureate degree in Business, or other related field, plus five years’ recent, related experience (including a minimum of three years’ supervisory experience), preferably in a professional medical clinic, surgical centre, and/or health care setting. An equivalent combination of education, skills and experience may be considered.

  • Able to perform multiple tasks, balance priorities and meet deadlines without close supervision. Adaptable to respond to the needs of the surgical centre.
  • Able to work independently and as a member of a multi-disciplinary team.
  • Takes initiative and has a high level of ambition; motivated.
  • High Information Technology literacy and exceptional proficiency in Word, Excel, Outlook, PowerPoint and Internet Explorer.
